Adding, Editing or Deleting Voicemail Boxes

 

Voicemail boxes in Tresta belong to either a user or a user group, or there are standalone voicemail boxes.

In this article, you will learn:

  • How to add a voicemail box;
  • How to edit a voicemail box;
  • How to delete a voicemail box. 

This article assumes you are a Tresta System Administrator and that you haven’t added any additional voicemail boxes onto your system.

Adding a Voicemail Box

Whenever you create a new user or user group in Tresta, a voicemail box is automatically created for it. To learn more about adding new users and user groups, and managing the voicemail settings for both, check out the following articles:

When you need a voicemail box that isn’t associated with a group or an individual user, a standalone voicemail inbox is exactly what you need. To add a new, standalone voicemail box to your system, do the following: 

  1. Log into the web app and click on the Settings tab at the top of the page.
  2. Click on the Voicemail Boxes tab within the System Components. This opens the Voicemail Boxes page. Here you’ll find a view of all the voicemail inboxes on your system. You can use the four tabs at the top of the page to filter your results. These filters include the following: All; Standalone; Users; User Groups.
  3. Click the red +New Standalone Box button in the upper right corner of the Voicemail Boxes page. This opens the New Voicemail Box page.
  4. Name your standalone box, preview the default greeting, and add subscribers to voicemail messages on the Options tab. If you do not like the current greeting, proceed to the next step.
  5. Click on the Greetings tab. Here you can preview your current greeting or change it. Simply click the +Add Another link to either record a new greeting or upload one to the system. Once you’re satisfied with your new greeting, click the red Add button at the bottom of the greeting box. NOTE: If you want your new greeting to be the default for that group, make sure you click the box next to the message, “Make this the current greeting for this user group.”
  6. Once you’ve finished these steps, click the red Save button in the upper right corner of the Edit Voicemail Box page. This saves your changes and they’re now live in the system. 

Editing a Voicemail Box

When a system administrator is on the Voicemail Boxes page, they can edit the voicemail setting of any user, group or standalone box by doing the following:

  1. Select the voicemail box you need to edit and click the Edit icon in the right corner of its box. This opens the Edit Voicemail Box page.
  2. Revise any of the items that need to be changed. On the Edit Voicemail Box page, you can review the current greeting, edit the name of the voicemail box, as well as update the voicemail greeting and the subscribers to the voicemail messages.
  3. Once you’ve made your changes, click the Save button in the upper right corner of the Edit Voicemail Box page. Your changes are automatically updated in the system. 

Deleting a Voicemail Box

When a system administrator is on the Voicemail Box page, they can remove any inbox by doing the following: 

For Users and User Groups

Because voicemail inboxes are automatically built-in with users and user groups, the voicemail boxes associated with them cannot be deleted prior to deactivating a user group or removing a user. When a user or user group is removed from the system, the linked voicemail inbox is automatically deleted. No further action is necessary.  

For Standalone Voicemail Boxes

Since standalone inboxes are not tied to any object, they can be deleted.

  1. Log into the web app and click on the Settings tab at the top of the page.
  2. Click on the Voicemail Boxes tab within the System Components.
  3. Locate which standalone voicemail box that’s no longer needed, and click the Delete icon in the right corner of its box. This opens the Delete Voicemail Box window to help you ensure you really want that box deleted.
  4. Click the red Delete Voicemail Box button at the bottom of the window. This automatically removes the standalone box from your system.
